Reports and Dashboards

REPORT #1: Session Level Breakdown

  • Prerequisite 1: Before doing this, fill Sessions, Session Speakers, & Speakers with data – about 5 rows-worth
  • Prerequisite 2: Enable the 3 aforementioned objects to Allow Reports
    • Go to: Create >> Objects >> Choose 3 custom objects (do 1 at a time)
    • Pick the first custom object >> Click Edit >> Click Allow Reports checkbox
  • Go To Reports Tab
  • Click New Report
  • Type in Sessions in Search within Select Report Type >> Choose “Sessions”
  • Scroll down and Click Create
  • Default is: Session name on the bottom-right Preview pane. Drag “Session Level” from the left-hand navigation to the bottom-right pane (See screenshot)

  • Hover over the Session Level Dropdown and choose “Group By This Field”

  • Add one more column from left-hand navigation: Session Date. Drag it over
  • Click Save >> Give your report “Session Level Breakdown” as a name >> and Click Save & Run the Report
  • Observe the Report. Note: Time Frame window, click a date range and see how the report changes when you press Run Report

REPORT #2: Session Speaker Breakdown

  • Prerequisites: Same two as in Report 1. If not completed, please do
  • Go To Reports Tab
  • Click New Report
  • Type in Sessions in Search within Select Report Type >> Choose “Sessions with Session Speakers and Speakers” – as you can see, we are now joining various objects
  • Scroll down and Click Create
  • Remove Session Speaker Name by dragging the header title to the left hand side
  • Remove Speaker Number by dragging the header title to the left hand side
  • Pick from left-hand navigation: “Speaker: First Name” and drag it to the right hand side in Preview Pane
  • Pick from left-hand navigation: “Speaker: Last Name” and drag it to the right hand side in Preview Pane
  • Click the top header under Session name and choose Group By This Field
  • Click Add Chart in Preview Pane
  • Choose Pie Chart at the top
  • Click Formatting tab – check off “Show Values”
  • Click Ok
  • Click Save >> Give your report “Session Speaker Breakdown” as a name >> and Click Save & Run the Report
  • Observe the Report. Note: Time Frame window, click a date range and see how the report changes when you press Run Report

DASHBOARD: Tying it all in!

  • Prerequisites: Needs same criteria as any of the reports (see first bullet)
  • Go To Reports Tab
  • Click New Dashboard – we’ll now create a dashboard off reports we made
  • Click Data Sources
  • Search for Report 1’s name (Session Level Breakdown). Upon Find, drag it on the first dashboard column reports_3
    • Search for Report 2’s name (Session Speaker Breakdown). Upon Find, drag it on the first dashboard column
    • Click the giant X mark on the third column as we won’t need it
  • Optional: If you want to use the third column and see how Visualforce meshes on the dashboard, feel free to search for your Visualforce page if you built any (such as one that uses Google Maps, etc)
  • Click Components tab
    • Drag a Bar Chart for Report #1
    • Drag a Pie Chart for Report #1
    • Under “Edit Header” for each, please click and provide a meaningful header
  • Note the “View Dashboard as” on top-right of screen. It comes useful as one has a choice to show all users the same data in the dashboard by choosing a specific running user, or show data according to each viewer’s access level by choosing to run as the logged-in user
  • Click Save
  • Give it a Title and click Save & Run the Dashboard
